A scheduled closing date does not establish that the transaction is ready. Streamlining the final stage means identifying unresolved dependencies early and obtaining confirmation from the people responsible for them—not treating completed signatures as completion of every other step.
Agree what ready means with the providers
With the relevant lender, title or settlement contacts, identify required documents, conditions and acceptance steps. Assign an owner and confirmation source to each. Keep signing, funding and recording as separate states because their sequence and meaning vary by transaction and jurisdiction.
Check the appointment before the appointment
Before the appointment, review outstanding items, signer identities and capacity, required formats and any notarial arrangements. Confirm time zones and availability. Surface conflicts in names or amounts before the signing session rather than assuming the provider will fix them there.
In a hypothetical closing, the signing appointment is Friday but an entity-authority document is still under review. The coordinator flags that gate as blocked on Wednesday and asks the responsible provider for the required evidence. The parties consider options through authorized advisers rather than assuming e-signatures will solve the authority issue.
Escalate blockers without promising an unauthorized change
For each blocked item, record what is missing, who can resolve it and the next update time. Ask authorized parties whether an extension or another arrangement is appropriate. Do not promise a date change or waive a condition on a client’s behalf without authority.
Some delays arise from title, financing, recording availability or other conditions outside the agent’s control. Electronic notarization and electronic signing are different processes. This checklist does not determine when legal transfer occurs or when funds can be released.
Confirm each closing milestone from its source
Obtain the responsible provider’s confirmation for each applicable closing step. Reconcile the final document package and unresolved post-closing items. Verify any funds instructions through an established independent channel, especially when an instruction changes.
